Buyer-side workflow

Procurement Project OS for industrial projects from USD 250,000

Short answer: run a capital equipment purchase in six steps — complete the specification, issue one RFQ, normalize every quote to delivered and installed cost, tie payments to milestones and FAT/SAT sign-off, then test financing. Free for buyers and supplier-neutral; all supplier outreach is reviewed by a person. Global B2B Group is not a manufacturer, lender or party to your supply contract.

1. URS / RFQ completeness check

Tick what your specification already states. Anything left open is a likely source of change orders or incomparable quotes.

0 of 12 items defined — 12 still open.

2. Quote normalizer

Enter up to three offers. Duty is applied to price plus freight. Warranty below 24 months is flagged, not priced — ask suppliers to quote the gap.

Formula: landed cost = price + freight + (price + freight) × duty % + installation. Comparing a contract manufacturer with a direct factory? Read contract manufacturing vs direct factory sourcing first.

Estimates only. Check duty rates with the destination customs authority; for lifecycle cost use the TCO calculator and for duty detail the import duties calculator.

3. Milestones and FAT/SAT acceptance

Tie each payment to an event you can verify. Typical sequence:

  1. 1. Contract and down payment

Signed scope, approved drawings list, bank guarantee for the advance where agreed.

  2. 2. Design approval

Layout and P&ID or GA drawings approved by the buyer before manufacture.

  3. 3. Factory acceptance test (FAT)

Run against the written criteria with your inspector present; punch list signed.

  4. 4. Shipment

Packing list, inspection report and shipping documents match the contract.

  5. 5. Installation and commissioning

Utilities connected, safety checks done, first product run.

  6. 6. Site acceptance test (SAT)

Performance test at agreed throughput and quality; final payment released on sign-off.

4. Financing readiness

Use the landed cost from step 2 as the project value. These tools estimate plausibility; they are not approval — lenders decide independently.

5. Single-sector project? Use the specialist platform

This workflow covers cross-sector and general industrial projects. When the whole scope sits in one of these sectors, the specialist platform holds the sector-specific requirements.

Direct answers

What is a procurement project OS?

A single, ordered workflow for a capital equipment purchase: specification, RFQ, quote comparison, milestones, acceptance testing and financing. Here it is a set of free buyer-side checklists and calculators — Global B2B Group does not manufacture, own factories or hold the supply contract.

Why normalize quotes before comparing them?

Offers arrive on different Incoterms, with or without freight, installation and warranty. Comparing the headline price favours whoever excluded the most scope. Normalizing to delivered, installed cost shows the real difference.

What should a URS contain before an RFQ goes out?

Product and throughput, utilities, site constraints, applicable standards in the destination market, acceptance criteria for FAT and SAT, documentation, spare parts, training, Incoterm and payment milestones. Missing items are the usual cause of change orders.

Does completing these steps mean financing is approved?

No. The financing tools estimate whether a structure is plausible. Lenders, export credit agencies and leasing companies make their own credit decisions.

Is there a minimum project size?

Yes. Supplier outreach are for industrial projects of USD 250,000 or more. The tools are free to use for any size.
