Support for institutional and public food procurement

In short

Public bodies and institutions buy food under their own procurement rules. For institutional and public food procurement of fresh produce, fish, shrimp, poultry and eggs, our team can help prepare a clear specification and, where those rules allow, run supplier outreach on your behalf; where a public tender is required, the tender follows your own process.

Your procurement rules come first

  • We work within your procurement rules and do not help avoid a required tender.
  • Where a public tender is required, we can help your team write a clear, comparable product specification. Bids are submitted by suppliers through your process, and evaluation and award stay with you.
  • We do not represent suppliers in your tenders.

Who this is for

  • Hospitals and health systems
  • Schools, universities and school-meal programmes
  • Defence, correctional and other state catering
  • Municipal and regional food programmes

Not for

  • Programmes below a declared USD 250,000 per year
  • Equipment or facility projects

See instead: Government procurement (equipment)

Sourcing problems we help address

  • Specifications that produce comparable offers

Grade, size, pack, delivery and documents are defined so offers can be compared objectively.

  • Nutrition, allergen and labelling requirements

Requirements set by your programme are written into the specification.

  • Many delivery points

Sites, delivery windows and volumes are captured per location.

  • Records you can audit

The specification, the suppliers approached and the comparison basis are documented for your files.

  • Season and price-variation clauses

Season windows and how you want price changes handled are stated up front, so suppliers quote on that basis.

Bulk sourcing and the USD 250,000 minimum

School-meal, hospital and other public programmes are usually contracted for one or more years across many delivery points. Declare the total value for the products in scope: from USD 250,000, our team can support the specification and, where your rules allow, supplier outreach.

How programme value is calculated

Information our team needs

Leave anything you don't know blank in the form — it is recorded as "unknown", not guessed.

  • Institution type and the procurement procedure that applies
  • Whether a public tender is required, and its timetable if so
  • Product, specification, pack size and labelling
  • Nutrition, allergen and dietary requirements
  • Delivery sites, windows and volumes per site
  • Contract length and season windows
  • Documents and audit requirements
  • Declared total programme value (annual or seasonal)

How the procurement workflow runs

For public buyers, the specification often decides whether offers can be evaluated fairly. We help write it so grade, pack, delivery, nutrition and document requirements are measurable, and keep a record of the suppliers approached and the comparison basis for your files.

How your request is handled

  1. Step 1

    Submit one structured request

Product, specification, volumes, delivery points and timing in one form. Nothing is sent to any supplier at this stage.

  2. Step 2

    Our team reviews it

We check the declared programme value against the USD 250,000 minimum, ask clarification questions and help complete missing specification points.

  3. Step 3

    Our team runs supplier outreach

We approach producers, packers and exporters that appear able to meet your specification, on your behalf. Your name and contact details are not shared without your approval.

  4. Step 4

You compare proposals on the same basis

Offers are set out against the same specification, Incoterms® rule, packaging, documents and timing. Prices come only from supplier quotations for your request; we do not publish price lists.

Questions to answer before you submit

  1. Which procurement procedure applies, and does it require a public tender?
  2. How many delivery sites are there, and what are the delivery windows?
  3. Which nutrition, allergen and labelling rules does your programme set?
  4. How long is the contract, and how should price changes be handled?
  5. Who evaluates offers and signs the award?

Programme value check

Multiply your own figures to see whether the request reaches the USD 250,000 minimum for an assisted RFQ.

What we do not do

  • We do not hold stock, own the goods or act as exporter or importer of record.
  • We do not publish supplier names, price lists or availability.
  • Buyers are never connected to suppliers directly. Every enquiry, question and offer passes through our team, and any introduction happens only after review and with your approval.
  • Availability, origin, certifications, prices and lead times are confirmed only for your request, after verification. The producer or supplier remains responsible for the product, its documents and its compliance.

Frequently asked questions

Can you run our tender for us?

No. Tenders are run by your organisation under its rules. We can help prepare the product specification and, where your rules allow, run supplier outreach on your behalf.

Do you bid in public tenders?

No. We do not bid and we do not represent suppliers in your tenders.

Is there a minimum order size?

Supplier outreach starts when the declared total annual or seasonal programme value is at least USD 250,000. This is the total for the programme, not the value of each delivery. Smaller requests are kept on file but do not enter supplier outreach.

Will I be put in touch with suppliers directly?

No. Our team handles all supplier contact on your behalf and presents comparable proposals. Your identity and contact details are not shared with any supplier without your approval.

Do you charge buyers?

No. Submitting a request, review and supplier outreach are free for buyers.

Ready to send a structured request?

One form, reviewed by our team. Free for buyers. Supplier outreach starts only for programmes with a declared value of at least USD 250,000.
