Industrial RFQ requirements by project type
An industrial RFQ should change with the scope. A single machine needs function, capacity, dimensions and materials; a production line also needs raw materials, process steps, packaging and utilities; a complete factory adds annual output, site and building status. Sending one generic form for all three produces quotations that cannot be compared.
Which RFQ type applies
Use a machinery RFQ when one machine replaces or adds a single step. Use a production-line RFQ when several machines must work together from raw material to packed product. Use a factory RFQ when building, utilities or site works are part of the scope.
If unsure, start with the outcome you need — product and output — and let the project team confirm the scope during review.
Ask only what is needed at each stage
A first-stage RFQ needs enough to qualify the project and identify suitable supplier categories. Detailed drawings, utility schedules and acceptance protocols belong in the second stage, once scope and budget are confirmed.
Machinery RFQ fields
For a single machine or cell.
| Field | What to state | Typical gap |
|---|---|---|
| Product | What the machine handles, formats and tolerances. | Product samples not offered. |
| Function | The operation performed. | Describing a machine instead of the task. |
| Capacity | Units per minute or kg per hour, measured basis. | Peak figure with no shift pattern. |
| Dimensions | Available footprint and height. | Access routes ignored. |
| Material | Contact materials, hygiene or food grade. | Cleaning regime not stated. |
| Automation | Manual, semi or fully automatic; interfaces. | Existing controls not described. |
| Country | Site country for codes and service. | Local certification missed. |
| Budget | Range in USD. | No budget, so offers vary widely. |
| Timeline | Required delivery date. | Lead time assumed. |
Production line RFQ fields
For connected equipment from raw material to packed product.
| Field | What to state | Typical gap |
|---|---|---|
| Product | Final product and formats. | Product mix changes not listed. |
| Output | Target output per hour and per year. | No allowance for changeovers. |
| Raw materials | Input form, variability, handling. | Input quality variation ignored. |
| Process | Main process steps in order. | Steps owned by no supplier. |
| Packaging | Pack format, labelling, palletising. | End-of-line left out. |
| Utilities | Power, water, steam, air available. | Utility upgrades not budgeted. |
| Country | Site country. | Import duties excluded. |
| Budget | Range in USD. | Line split across unrelated offers. |
| Timeline | Target start of production. | Commissioning time missing. |
Global B2B Group reviews commercial projects of USD 250,000 or more.
Tables are illustrative planning aids, not supplier offers, prices or results. Global B2B Group is not a manufacturer, EPC contractor, lender or insurer; every request is reviewed by the project team before any controlled introduction. Sector-specific projects (cold chain, aquaculture, poultry, greenhouse, feed) are routed to the relevant group specialist platform.
